What the template includes
- Your company details, logo space, VAT and registration numbers.
- Customer details, quote number, quote date and validity date.
- Shipment details: origin, destination, Incoterm, mode (sea, air, road), commodity, packages, gross weight, volume and chargeable weight.
- Charges grouped the way customers expect: origin charges, international freight, destination charges, customs clearance, and duties and taxes.
- Currency and exchange rate used, with subtotals per group and a grand total.
- Notes for exclusions, assumptions and payment terms, plus a short terms and conditions block.
How to fill it in
- Enter cargo details first, because chargeable weight drives most freight charges.
- Air freight chargeable weight is the greater of actual weight and volumetric weight. A common standard is length × width × height in centimetres ÷ 6,000 per piece.
- Sea freight LCL is usually charged per revenue tonne: the greater of weight in tonnes and volume in cubic metres.
- Show duties and taxes as estimates, with the commodity code and rate you used.
- Always state the validity date. Freight rates and exchange rates change, and an open-ended quote is a risk.
Template or software?
A spreadsheet works for a few quotes a week. When you quote every day, retyping duty rates, exchange rates and customer details becomes slow and error-prone.
OCTA Cost builds the same quote with live UK duty rates, saved customers and suppliers, your margin on every line and a branded PDF, and keeps track of which quotes were sent and accepted.
Frequently asked questions
Is the freight quotation template free?
Yes. Download the Excel file and use it as often as you like, no sign-up needed.
What should a freight quote include?
Who it is for, the shipment details, the Incoterm, charges grouped by origin, freight, destination and customs, the currency, what is excluded, a validity date and your terms. Our guide explains each part.
Can I add duty and VAT to a freight quote?
Yes, if you are quoting delivered or DDP terms. Show them as estimates with the commodity code and rate used, because the final amount depends on the customs declaration.
Does it work in Google Sheets?
Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets.
